Subcontractor Management Software: A 2026 Evaluation Guide

Evaluate subcontractor management software for scope, credentials, schedules, field evidence, approvals, payment records, and auditability.

On this page5 sections

Subcontractor management connects onboarding, scope, schedule, communication, field evidence, change orders, approvals, payment records, and closeout. The challenge is not collecting more documents; it is keeping responsibilities and current records visible.

Software should support the GC and subcontractor without claiming that an uploaded credential has been independently verified unless a responsible person or configured provider actually completed that verification.

Build one current subcontractor record

A useful record should show both submitted information and its review state.

  • Company identity, trade coverage, service area, contacts, and authorized users.
  • Submitted licenses, insurance, safety documents, tax forms, and expiration dates.
  • Reviewer, verification source, decision, and follow-up requirements.
  • Project-specific scope, exclusions, schedule, change orders, and closeout status.

Connect scope, schedule, and evidence

Trade work is easier to manage when the assigned scope, dependencies, current drawings, requests for information, and evidence requirements live in the same project record.

AI can summarize field notes and photos or highlight missing evidence. The GC, Owner, inspector, or other authorized reviewer remains responsible for determining whether the contractual requirement is satisfied.

Keep payment states explicit

A subcontractor workspace should distinguish submitted, under review, approved, scheduled, sent to provider, settled, failed, reversed, and reconciled states. “Approved” should never be displayed as “paid” until the configured rail confirms the result.

Evaluation checklist

Test the workflow with a real project structure and representative roles.

  • Can users see only the companies, projects, bids, and payments they are authorized to access?
  • Can credentials be marked submitted, reviewed, expired, rejected, or verified with a source?
  • Are scope revisions, evidence, approvals, waivers, and retainage auditable?
  • Can records be exported for the project team and retained after closeout?

Next action

Review the workflow against your current process

NEXUS is in beta. Compare the public product facts with one representative project workflow, keep qualified reviewers in the loop, and request access only if the scope fits.

Quick reference

Frequently asked questions

What does subcontractor management software cover?

It can connect onboarding, credentials, scope, schedule, communication, field evidence, approvals, payment records, and closeout.

Does uploading a license or insurance certificate verify it?

No. Upload establishes a submitted record. Verification requires an authorized review or an appropriately configured verification source.

Can AI approve subcontractor work?

AI can summarize evidence and flag uncertainty. Contractual approval should remain with the authorized reviewer.
